Permissions required to promote records in Library Project

Overview

In order to promote records from your current project to Library Project, you need different permissions in Library Project and current records’ project.

In Library Project, you need Create Record permission at the record type level. This permission allows you to add new records in the project. When you promote a record from your current project, the record will be added as a new record to the library project.

In current records’ project, you need Modify Record permission at record type level and Reuse New Record permission at the project level.

This article explains how to grant the required permissions in Library Project and current records’ project.

1. Granting “Create Record” permission at the record type level in Library Project

Step 1.1. Open Library Project’s editor

Step 1.2. Open Project Security Wizard

Step 1.3. Enable the Project Security option in the wizard

Click Next until you reach the page of choosing a method to grant permissions.

Step 1.4. Choose the method for granting permissions to Team Members via Roles

Step 1.5. Select Roles for a User to grant permission

Step 1.6. Choose “Create Record” permission for the desired record type(s) individually

Follow the wizard until its completion and save the project.

2. Granting “Modify Record” permission at the record type level in the current project

The steps are similar as shown for the library project in the steps above. You have to perform the same steps for your current project.

Step 2.1. Open current records’ project editor

Follow the steps as shown in step 1.2. to 1.5. And then choose Modify Record permission for a user’s Role.

Step 2.2. Choose “Modify Record” permission for desired record type(s) individually

Follow the wizard until its completion and save the project.

3. Granting “Reuse New Record” permission at the project level in the current project

The steps are similar as shown for the current project in the steps above. Follow the steps 2.1 to 2.2. And then choose Reuse New Record permission for a user’s Role.

Grant “Reuse New Record” permission at the project level for the selected user’s Role

Follow the wizard until its completion and save the project.

The users who have been granted these permissions in the library, as well as the current project, can now promote records from the current project to the library project.
